Figure out what you want to say. Keep the message positive and focused on accuracy of results. Clearly define the concern and the proposed improvement. Start with your DE to get guidance.

The normal event planning cycle (as BSA teaches it and some committees actually perform it) is 9 months. So, now is definitely not too early for communication. In fact, shortly after the last Derby would also be a good time.
