I have been asked to provide our new hardware and software setup as a rental for an event by my District Executive. I need to get an informed opinion as to what would an appropriate "rental" cost be for the following setup:
6 Lane BESTRACK 49 ft track with Riser Set
K3 Timer Setup
GPRM Software
PVC Fencing
Multiple Racing Banners and Decorations
Official Scorers Station with Scorer Included
OPTIONS:
PITPASS design and execution
Drivers License design and execution
What has been your experience with what the "market" will bear for having these benefits at a Derby Event?

Our pack charges $250. Last year we made $1700 for the pack (we gave a small pack a break on the price). We've more than paid for the track, timer, projector and other equipment since we got it almost 3 years ago.
This is what we provide:
+ 4 lane Piantedosi track 48 ft (but we only set it up for 40 ft to help racers have a better chance of finishing)
+ Fast Track K2 timer
+ Laptop with GPRM and RaceFX Software
+ At least a 3 person crew to setup/teardown, run the computer, stage and return cars
+ Pylons and rope for crowd control
+ Projector to display results
+ Wood strips for staging the cars on a table
+ A printout of the race results
We expect the other pack to provide:
+ A roster prior to the race that we can load into the computer
+ An MC
+ Do the check-in of cars
We also have a digital scale and car go/no-go gauge available if the other pack needs it.
We show up an hour prior to the start of racing to do the setup.

$250 sounds like a fair price. This is the first District Derby I've done and I'm concerned about turnout. Right now, I have a $100 rental charge in the budget. If we have a good turnout, and I believe that there will be sufficient funds in future years, I will increase the amount.
